Foxit eSign will allow the user to copy template’s fields on a new document by setting their own rules. According to the rule definition, the system will automatically copy the template field on any newly uploaded form.
Many times companies get prefilled document(s) from other persons or systems that just need some additional fields to be filled out before signing by the end-user. Document preparer can upload the document and apply the template (based on rules like matching file name or file name contains specific words). This functionality was available to our API users however, we are enabling it via the User Interface (UI) now. A common example is in real-estate where is buyer agent gets prefilled/presigned forms from a Seller agent or attorney and needs to complete the remaining part from the buyer side quickly by applying the template fields to prefilled documents.
This feature will benefit all companies and users who use reusable templates and documents. We are making documents uploading more user-friendly than ever before.
How it works:
Setup
- For the Super admin role, this feature is by default enabled in the application. For the admin and the regular user, you need to enable this feature from settings.
Path to enable the feature: Settings à Securityà Allow template rule access to admin and regular user.
- Once the feature is enabled, a new button will appear named “Template rules” for admin and other users under the template menu. Super admins will have this functionality by default if the feature is available in your plan.
- Click on the template rules button a pop will appear to set the rules.
In Document name:
Please select an operator that you want to apply on the document name.
If you select the contains operator while uploading the document, the system will check the file name; if the value in the document text includes the uploaded document name, then the template rule will apply to the document.
If you select exactly matches, then the system will check the file name; if the document’s value matches precisely with the document name, then the template rule will apply to the document.
Value in the document:
Please pass the text on which operators will work, and the system will validate the document file name.
If you pass * the wildcard template rule will apply to all the new documents.

You need to select a template from the all available template list as per your requirement.

After uploading a document, you need to select a template from the all available template list as per your requirement.

When the user uploads a new document, and if the document’s name matches with the created rules (Text mentioned in value in document name), a pop will appear on the screen to select the templates. Users can choose only one template from the list.
Select the template and click proceed.
All available template fields will appear on the uploaded document.
